Full-Time Administrative Assistant

Cambria County Library is currently hiring a full-time Administrative Assistant. This position reports to the Library Director and Business Manager and provides critical assistance to the Library Director, Business Manager, and other library staff by providing administrative support and ensuring efficient operation of the office through a variety of tasks related to organization and communication. A high proficiency in skills including communication, bookkeeping, scheduling, customer service, and technology is required. Position generally works 8-4 Monday through Friday, and includes 14 paid holidays, generous PTO policy, health benefits, and retirement plan.

Duties:

  1. Check weekly schedules, vacation slips, compile daily attendance sheet, and record PTO for part time employees.
  2. Handle the booking of Community Room. Make monthly calendars for staff and handle payments.
  3. Set up Conference Room for Board Meetings.
  4. Answer and direct incoming phone calls.
  5. Generate and send acknowledgement letters and thank you cards for monetary or book donations from patrons or municipalities, including Memorial or Adopt a Book donations.
  6. Maintain current employee, volunteer and board member lists.
  7. Keep record of continuing education and contact department heads when continuing education is needed for staff.
  8. Maintain and develop donor list, as well as assist with annual fund campaign mailings.
  9. Compile Baker & Taylor Invoices for accounts payable each month.
  10. Manage library registers daily. Collect and record daily profit from each register
  11. Assist with quarterly reports for county libraries.
  12. Collect and record photocopier and printer money.
  13. Order and keep inventory of necessary libraries supplies.
  14. Must perform the duties of the business manager in their absence.
  15. When needed, assist other departments by working the public service desk on any floor.
  16. Other duties as assigned.

Qualifications:

  1. High School Diploma
  2. Business or Accounting Background
  3. Experience with Microsoft Office
  4. Good Typing, Verbal, and Written Skills
  5. Proficiency with Technology
  6. Knowledge in QuickBooks

  2. Able to sit for long periods of time
  3. Able to lift or move 30 lbs
  4. Occasional crouching (bending of the knees)
  5. Stooping (bending at the waist) and reaching

  2. Able to manipulate other office equipment, such as photocopier, including filling paper trays
  3. Able to manipulate mouse or other input device (ex. Barcode scanner)
  4. Able to manipulate data cables, cords, or connections

Part-Time Library Support Staff

Cambria County Library is seeking applicants for a part-time library support staff position. This individual will assist patrons at our busy Information Desk by providing general information and computer assistance. This position is 20 hours a week and includes two evenings a week and one Saturday a month. Candidates should have strong computer skills and excellent customer service. Duties:

  1. Assist patrons searching the online catalog for book titles; help patrons locate materials using the Dewey Decimal System; place holds using the Spark catalog; take interlibrary loan requests.
  2. Assist patrons with computer problems such as gaining access to an email account, opening an attachment in an email, printing documents, etc.
  3. Send faxes for the general public; troubleshoot photocopier malfunctions; help patrons scan documents.
  4. Check IDs and print guest passes for computer use; reset pin numbers; renew library cards.
  5. Place holds, check in, and check out hotspots.
  6. Use the cash register, make change, and handle credit card transactions.
  7. Answer and direct phone calls.
  8. Have an understanding of item shelving in periodical department in order to pull microfilm, newspapers, and magazines as needed. Assist with operation of microfilm machines.
  9. Shelve books in the Pennsylvania Room and shelf-read as needed.
  10. Receive, shelve, and organize collection materials.
  11. Serve patrons by helping to select and locate materials.
  12. Other duties as assigned.

Qualifications:

  1. High School Diploma
  2. Strong computer skills, including Microsoft Office Suite
  3. Ability to serve the public in a calm and courteous manner
